Companies > Managing questions, forms, offers, contracts and creating your sponsorship listing:
Now that you have created your account and set it up, we can dig into the core of the site which is the questions, forms, offers and contract that create the sponsorship listing. The sponsorship listing is the most important feature on SponsorSpace. This listing should describe what you are looking for and what you are willing to offer to the athlete. It may seem like allot of steps but once you get it down it becomes very easy.
You can have different level sponsorship listings as well as different packages you offer depending on the athletes ability, exposure and skill level. You wouldn't offer a poker player who is going to wear your hat on ESPN a 10% discount just as you wouldn't offer a novice bmx rider a full blown 100% sponsorship package with cash deal.
You can offer your listing and pick and choose from the athletes who respond to your sponsorship listing. We suggest a 5 tier sponsorship package starting with a basic discount from your retail or online store (still moves inventory, promotes sales and brand recognition and gives you new customer base) all the way up to full blown free parts, gear and cash for the athletes who will get you mass tv, magazine and radio exposure.
Lets get started.
In your my account backend, scroll down until you see Application forms settings.

Click on Manage Questions>this is where you will create questions to ask the athletes when they click your sponsorship listing or when they click your 'Apply for sponsorship' button on your profile page. Click on add new questions>add questions you want to know from the athletes before you would consider sponsorship. Basic questions are how long have you been involved? Do you compete regularly? How do you plan to represent and expose us if we offer you sponsorship? Do you get tv, radio or any media time?
After you type your questions you can choose what type of input the athlete can use to enter their answers, we usually suggest textfield as that gives the athlete a blank text field to enter their answer in. You can try out different types that will fit your questions best.
The questions you choose to ask the athletes will now get put into a form, the form acts as a folder that holds the questions. Click on Manage Forms>and click Add new form>
You should see the questions appear that you typed earlier. You can add certain questions to certain forms. You can make a 'main form' and put all of your questions in there. You can also choose to create different level forms. Lets say you are going to offer a basic discount sponsorship to most athletes. You can put your basic questions in the basic form to only send to the basic athletes, if you are going to offer a full ride + cash and options sponsorship you will want to ask more important questions that will only pertain to the higher level athletes. You will need to make one form a default, this form will be the form that holds the main questions when athletes click your 'apply for sponsorship' button on your profile. If you choose to not make a form default, athletes can still submit their application to you but it wont contain any answers to your questions.
We suggest a basic form, level a form, level b form, level c form, follow up form, all with different questions for the different levels you might offer. So create the title of your form that you can remember which questions are inside>click the questions you want to include in the form>hit submit and your done!
Lets create an offer letter to send the athletes who we want to offer a deal to. Click on Manage offer letter>add new offer letter.
A basic form will open that you will put in your offers. Once again you will probably have various offers so start with the basic offer and create offers for your various different sponsorship or deal packages.
An offer will detail exactly what you expect from the athlete and what you are offering the athlete in return. It could be as simple as "Congratulations, we at company X are impressed with your videos, photos and your bio. We would like to sponsor you with one free widget every 3 months 3 free hats a year that we want you to wear whenever you compete and when your practicing. We will also send you a banner to hang at your competition if possible. We would like photographs from the contest or competition of you wearing our hat and our hung banner. We look forward to having you on our team, if you have any questions please contact us.
You can have a 10% off offer letter, 20% off, partial ride and full ride offer letter. You can also edit an offer letter from the editor to add a customized feel to each athlete.

Finally we are going to create the contract that will put in writing the terms the athlete and company are agreeing to. When creating a contract please use caution and if we suggest you consult with legal counsel especially for your larger deals. If your offering an athlete a 40% sponsorship deal for 1 year that should be fairly easy but a large deal involving cash, parts and very detailed specifics might need legal review, please use your best judgment and please know SponsorSpace is not responsible for the athlete or the company in any legal or contract matter.
With legal jargon aside, lets create the contract.
Click on Manage Contract Letter>Add new contract> You can create the title of your contract whether its 'discount contract or 'full ride contract' You can now choose to write the contract using our word editor or you can upload it by way of PDF. Once you choose which option you want you then choose the dates the contract and deal are good for. After you choose the dates you then can type up your contract that the athlete will follow according to the terms in your offer. A sample contract can say:
Congratulations ________
By now you have received our offer which details what we would like from you and what you can expect from us. To summarize our offer:
Sponsorship offer XYZ
3 free hats per year that you must wear at events
3 free widgets to use and recommend to press, friends, family and fellow athletes
Discounted ordering using our website
The purpose of this contract is to set in writing our agreement we have as Company/Sponsor and Athlete.
By you accepting this offer and contract you agree to the terms set forth in this document.
This deal is good for 1 year starting today Jan. 22, 2006 until jan. 22 2007.
You will set specifics here about if they can accept similar sponsorship offers, how they represent your company and where their territory is.
Athlete will not hold sponsor responsible for damage and vice versa.
Confidentiality agreement can go here
Specific details about discount ordering.
Termination details here
Accepted and agreed:
Company name and sig
Athlete name and sig
It can be as detailed or simple as you wish and use your best judgment when creating the offer and contract.
After that is done click submit and you are finished.
When an athlete clicks your 'apply for sponsorship' button he will see the the form that you made default. If you select NONE or don't create a default form with questions the athlete can submit his application still but will not answer any of your questions.
Now you can post your sponsorship listing. >Click the orange banner in the top right corner of your my account backend.

Click add new listing>
Here you will add your listing to the sponsorship search pages. Athletes can search by their sport or they can search 'view all listings' Enter in the listing title, the dates the listing is good for, the description and which form you want the athlete to answer before submitting the application. Hit submit and your listings will be posted live and athletes will see it displayed like this:
When an athlete clicks and responds to your sponsorship listing or they click your 'apply for sponsorship' button you will get an email and get a notification in your sponsorspace mail.

The From field shows the user who sent you their profile and when you click their name it will show you their application, profile and answers to your questions. The status shows their status with you, listing used shows which listing they are applying for if you have multiple listings and it also shows the date they applied. If it says None in the listing that means they clicked on your 'apply for sponsorship' button and did not click on a sponsorship listing.
You can view their profile, photos, videos and see all their information as well as the questions to your answers. You have the option to immediately send an offer for sponsorship, you can reject it immediately or you can send more questions.
If you click 'send offer for sponsorship' you will have the option to include your offer and contract you created earlier. If you reject the application it immediately gets rejected and the athlete gets notification. If you send further queries you will be asked to choose a form with questions in it.
If you choose to send an offer for sponsorship the athlete will get an email and a notice will appear in their pending offers folder. The athlete can then view the offer, view the contract and print both. They then can decide to accept, decline or talk more about the deal with the company.

If they approve you will be sent an email and the approval will show up in your open offers link.

When you click on the link you will have the option to review the athletes profile, contract and offer again and make your final decision to approve sponsorship or decline. Once you click approve sponsorship they will be added to your 'sponsored athletes' section and you will be in there 'my sponsors' section. Your offer and contract will begin and hopefully a great mutually beneficial partnership as well.

If at anytime the relationship goes sour or the athletes breaks his agreement or violates his terms you can click on the X to breakup and remove the athlete from your my sponsored athlete box.
